Description and Role
We are seeking a highly skilled and client-centric Event Project Manager to join our dynamic team. In this role, you will be the strategic lead and operational powerhouse behind the conceptualization, planning, and flawless execution of events for our diverse clients.
You will manage everything from high-profile corporate conferences, product launches, and brand activations to exclusive VIP experiences and sophisticated digital/hybrid events. The ideal IMC's project manager is a strategic thinker with meticulous attention to detail, exceptional client-facing skills, and a proven ability to manage complex projects that align seamlessly with broader marketing and communications objectives.
Key Responsibilities
1. Client & Strategic Project Leadership:
• Serve as the primary day-to-day contact for clients regarding all event-related projects, building strong, trusted relationships.
• Active and constructive participation in customer tenders, supporting project teams.
• Translate client briefs and business objectives into innovative and actionable event concepts, strategies, and detailed project plans.
• Lead client presentations, pitches, and regular status meetings, communicating progress, milestones, and results with confidence and clarity.
2. End-to-End Event Production & Management:
• Manage the entire event lifecycle from creative conception to post-event analysis and reporting.
• Develop and meticulously manage project budgets, ensuring profitability for the agency while delivering exceptional value to the client.
• Create detailed production schedules, critical paths, and resource plans using project management tools (e.g., Asana, Monday.com).
• Oversee all logistics, including venue sourcing, A/V production, staging, catering, registration platforms, and delegate management.
3. Vendor & Supplier Management:
• Cultivate and manage a network of high-quality vendors, suppliers, and partners across Luxembourg and the Greater Region (France, Germany, Belgium).
• Lead contract negotiation, procurement, and management of all third-party suppliers to ensure quality, cost-effectiveness, and reliability.
• Process all related invoices and financial reconciliation in a timely manner.
4. On-Site & Digital Event Execution:
• Direct and oversee all on-site and virtual event operations, leading production teams and serving as the key decision-maker.
• Proactively identify and solve problems in a high-pressure, live-event environment with a calm and professional approach.
• Uphold the highest standards of execution to reflect positively on both our agency and the client's brand.
Qualifications & Skills
Required:
• Bachelor's degree in Marketing, Communications, Hospitality, Business, or a related field.
• 5+ years of progressive event management experience, preferably within a marketing, PR, or communications agency environment.
• Proven experience managing client relationships and translating client needs into successful event outcomes.
• Full professional proficiency in English is mandatory. Fluency in French and/or German is a significant advantage and highly desired.
• Strong understanding of the event landscape, venues, and suppliers in Luxembourg and the surrounding regions.
• Exceptional project management skills, with proficiency in relevant software and tools.
• Demonstrated ability to develop and manage complex budgets in a commercial setting.
• Legally eligible to work in Luxembourg.
• Willingness to work flexible hours and travel as required by client projects.
